Solving the CMS issue

One challenge for revenue enablement is making sure reps have access to the right information at the right time, and that documents are up to date and current. Traditional CMS solutions fall short as they’re often siloed.

But the reality of modern sales and go-to-market means documents live in multiple systems, and are maintained and owned by multiple teams. I often hear from sales and revenue leaders how heavily their teams rely on Slack to find answers to questions they can't get anywhere else.

Slack is great for this. The alternative is checking multiple other platforms without certainty of finding an answer. It's natural that you'd want to ask your co-workers instead, it's easier, and there's a higher chance of resolving your query.

But there's a problem. You're waiting for a response, and that disrupts your flow of work. You might be writing a follow up to a customer. Waiting 5 or 10 minutes (optimistically) for a response is no good.

And you might have the same issue again in a month and not remember the answer. Or someone else has the same question next week. Slack is ephemeral. Once a problem has been solved it disappears from view until the next person has the same question or problem, and then it’s asked again.

Topics and Trends

Getting Deals Closed

Sub-topics and keywords include commercials, signature, legals, pricing.

Questions about closing trend up steadily over the quarter. The highest peak is the week of December 4th, with a little lull and then a big push week of the 18th Dec. It’s interesting to note how deal closing tends to accumulate towards end of quarter. Anecdotally this is also my experience in sales teams, where we’d see a big push in the last month. It would be interesting to see how this plays out for the rest of the month.

Building Pipeline

Sub-topics and keywords include blogs, one pagers, customer stories, demos, videos, podcasts.

A large portion of this trend is accounted for by requests for marketing and sales assets for top of funnel. It trends slightly down throughout the quarter with two big humps centered around the 16th of October and the 13th of November, roughly mid-month.

Product Questions

Sub-topics and keywords include features, bugs, integrations, apis.

I’m including this trend not because the chart tells a particularly interesting story, but because it was by far the most dominant topic, with almost 30% of all questions being product and feature related in some way.

Q1 Planning

Sub-topics and keywords include Q1, targets, quotas, kick-off.

The first few weeks of the quarter show no questions related to Q1 planning from sales reps. As the quarter progress it begins trickling in slowly at then, spikes, then dies down. I imagine everyone has their Q1 planning mostly wrapped up by this point.

Topics for your team

If you’re interested in seeing trends in your own data here’s a sneak preview of what that might look like. Our goal is to help you see the macro-trends, but also dive into the nitty gritty. There’s a big difference between questions like “where’s the pricing calculator?”, “how do I create a pricing proposal?”, and “how to I overcome pricing objections?”. Each of those require different solutions, so understanding your gaps comes first.

• New UX - our previous chat-style UX came with broad user expectations, we were spending more time solving for edge cases than our core job to be done.

• Ask In Slack - what happens when Workbounce can’t find what you’re looking for? Our users were returning to Slack to ask their colleagues. We’ve created a way to do that in just one click. The best part? Any answers are captured and form part of the knowledge base, learning new answers for the next time a similar question is asked.

• Confluence Integration - this was a request from a customer who don’t use Notion as their company knowledge base. Now live, and working very smoothly.

• Chrome Extension - In keeping with our mission to meet end-users where they are, we’ve built a nifty Chrome extension which has all the same functionality as the web-app.

Almost every company has tried and failed to implement a centralised content management system (CMS), hoping to control the information avalanche. Platforms like Highspot, Seismic, Notion and Confluence promised to help employees quickly find everything they need. But the truth is, every system is a CMS if you squint. Even if they’re not positioned that way.

Customer notes live in Salesforce, call recordings in Gong, email flows through Outlook, and valuable tribal knowledge sits in Slack threads. Trying to wrangle all this into a single source of truth is impossible - information volume grows far faster than anyone can manually organise. Why? Because information grows and changes dynamically, but the CMS is a static system. It’s like trying to win at tennis by standing in one spot and hoping the ball comes your way.

So what happens? Employees sprint to stay still, desperately searching and asking questions to keep up. Subject matter experts burn out answering the same things over and over. New employees take months to get up to speed. Customers experience delayed and potentially misinformed responses from these knowledge gaps. The tools you own end up owning you.

The shift towards more remote work only accelerated this fragmentation. Overwhelmed by notifications, Slack channels get muted..Back-to-back "project update" meetings are put on the calendar as everyone tries to stay in sync. Time is taken away from the work that matters most.

Ironically AI is the exact tool that can give us back our humanity and help us deal with information overload. It excels at ingesting and making sense of vast information volumes; consolidating, transforming, and presenting relevant knowledge on demand. An "AI assistant" is always available to surface insights from across systems when needed, instantly, no matter the hour.

Instead of anxiously pinging co-workers, employees can directly query their company’s institutional and tribal knowledge to get what they need. Meetings focused on status updates and repeated questions in Slack are slashed. New hires reach competency faster.

What can we do today to start solving this problem? Take a look at the tools and platforms you use everyday and ask if the technology serves you, or the other way around. 'Swimming in a Sea of RFPs, Oil' - DALLE 2, 2023

At its core, responding to an RFP requires extensive collaboration between departments – a multifaceted dance of questions, answers, reviews, and revisions. Individual professionals invest upwards of 30 hours per RFP response, dedicating around 25 minutes to thoroughly answering each question. They consult an average of 9 cross-functional subject matter experts across departments, which further adds to process complexity and coordination struggles. Despite the inherent benefits of collaborating on RFPs, 51% of reps cite cross-team coordination as their number one obstacle.

This fragmented process also leads to redundant efforts. Teams continuously retrace their steps, piecing together responses from information scattered across multiple platforms, documents, and systems. Without a centralised knowledge base, nearly half of professionals report difficulty consolidating accurate, timely information. The downstream consequences are delayed responses, incorrect data, strained subject-matter experts, and immense inefficiencies as the same ground is covered again and again.

Many organisations attempt stopgap solutions like creating centralised answer banks in tools like Confluence, Notion or GDrive, or employing extra IT and legal support. While these band-aid fixes can help simplify RFP responses for reps, most companies still struggle to sort new information from old. Subject-matter experts remain overworked and overwhelmed, supporting numerous RFP responses in parallel and distracting from their day job. Overall, process inefficiencies persist.

The time has come to leverage AI's unparalleled ability to analyse massive datasets and surface contextual connections from disparate sources. Properly deployed, LLMs can help organisations analyse incoming RFP questions and link them to the most relevant pre-existing responses from across the knowledge base. This could reduce the RFP drafting process by up to 90% – freeing up experts to focus their time on refining and enhancing responses rather than fishing for information or starting from scratch each time.

More streamlined and efficient RFP processes are especially critical for scaling companies inundated with a barrage of RFPs against tight response deadlines and limited organisational bandwidth. The Chaotic World of Enterprise Knowledge

Imagine walking into a room filled to the brim with scattered papers, boxes and overflowing filing cabinets - everything from project plans, marketing materials, to financial reports. Now imagine being asked to find one specific piece of information in minutes. This metaphorical room is the reality many enterprises face today. As departments became autonomous, organisations sought out specialised tools that worked for the specific needs of each function. The goal was a cohesive modular system, but instead they ended up with siloed tools, each with its own way of capturing and cataloguing information.

This innocent origin grew into a worrying trend. The average enterprise uses 10 different systems for various knowledge-based tasks. This fragmentation doesn’t just hamper productivity; it leads to employees spending up to 20% of their time simply searching for information (IDC, 2019). Beyond the immediate inefficiencies, there's a deeper toll: the cognitive cost of interruptions. Each time an employee is pulled away from their core function to locate information or to address a query, projects lag, and initiatives falter. Distracting subject-matter experts from their primary task has real consequences.

Switching between systems isn’t just about lost minutes—it’s a drain on mental energy, causes errors that arise from juggling multiple tabs, and the illusion of productivity. The CMS promise was simple and seductive: funnel all your organisation's valuable information into a single vault. One place to find everything. In an increasingly fractured digital landscape, the allure of a central hub was undeniable. Management dreamt of uniformity, of every team member accessing the latest documents, the most recent pricing, and consistent messaging. And the icing on the cake? Dashboards that would unravel the mysteries of engagement, helping leaders understand which documents turned prospects into loyal customers.

The Harsh Reality: A System Built on Shifting Sands

But like a mirage, the closer we got, the further the promise seemed. Here’s the truth: in today’s age, nearly every tool has evolved to offer CMS-like capabilities. Be it Notion, where teams draft documents, the email inbox brimming with internal communications, project management tools that hold critical project updates, or even call recording transcripts in tools like Zoom and Gong. Asking individuals, already pressed for time, to migrate and curate this content feels less like a solution and more like an administrative chore.

As a result, an expensive CMS becomes an underutilised asset, in many organisations often propped up by a full-blown enablement team tasked with the Sisyphean challenge of keeping ever-evolving content up to date. However, with the pace of business change, the most critical documents—strategy decks, the latest pricing calculators— often remain where they were authored, tucked away in their original systems. Cue asking on Slack or Teams. This predictable behaviour means channels get noisier, important updates are lost in the din, and the cycle of repeated queries rolls on.

Embracing the Future: Workbounce’s Answer to Chaos

Instead of fighting the tide, what if we leaned into it? Tools like Workbounce offer a paradigm shift. New UI - Our minimal UI has been minimised even further. Joe has worked hard to bring all the focus onto the conversation, as well as improvements to how we handle chat history. Enterprise software has never looked so clean.

• New Website - The site needed an rework to reframe what we do and how we do it in a clear and simple way. People seem to have a better understanding and are excited when we talk to them, so that’s a good sign.

• Welcome, Amy - Amy Paredes joins us for six months as a GTM Consultant helping us to expand and manage our pilot customer programme.

• We’re hiring! - Specifically for a back-end engineer to join Dmitry. We have lots of interesting problems to solve in an exciting space. If you know talented individuals looking for a new challenge, please point them our way!

The beginning of a new year is often a time to reflect, assess your priorities, and put your best foot forward. Alongside a few personal resolutions, we had one major objective for Workbounce in January this year—and that was to secure our SOC 2 Type II certification.

Over the subsequent months, I was often asked why it was so high up on our priority list - some thought it was unusual that we’d be pursuing security certification alongside early product development. But for us, it was always a no-brainer.

We consider AI and LLMs to be a hugely-powerful tool that every business in the world will eventually come to depend on. As one of the earliest providers of this technology as an enterprise B2B solution, it’s our responsibility to set the bar for security, privacy and data protection as high as we possibly can.

Our three-month SOC 2 audit came to a close a few weeks ago, which wouldn’t have been possible without Lynn our Operations Manager, and Dmitry, our Technical Lead—their rigorous work was fundamental to our success.

SOC 2 is just one fundamental piece of a much bigger jigsaw when it comes to our commitment to data protection, security and privacy. We’re building out a full Trust Centre (more on that soon) but you can find our temporary Trust FAQ here.

We're excited to share the latest updates that we've been working on and have released this week!

One of the biggest enhancements is the addition of our new User Management feature, which provides admins with a slick, intuitive panel to easily manage user accounts within their organization. Admins can now add and remove user accounts as needed, all from a single place. This feature streamlines the process of managing users, allowing admins to focus on other important tasks while ensuring that their organization's user accounts are always up-to-date and secure.

In addition to this, we've also implemented a new Slack Channel Selection Modal that gives Workbounce admins even greater control over what data is synced to their Workbounce account. This feature allows admins to easily toggle specific channels on or off with a single click, making it much easier to control the flow of data between Slack and Workbounce. The modal also includes a filtering function that lets admins quickly search for and find specific channels, further improving the overall user experience.

• Slack integration: The big one has been integrating Workbounce with Slack. Questions in selected channels will now be replied to automatically, surfacing answers from across the stack, and referencing the source material as in the web app.

• Response improvements: We’ve continued to tweak the parameters involved in answer retrieval and have seen improvements in answer quality.

• Context menu: A new right-hand sidebar in the web app that allows users to quickly navigate to all referenced resources, clear the chat, and upvote / downvote the quality of the response.

Hi all, here’s what we’ve worked on and released this week:

• Marketing website: We've revamped and relaunched our website with new messaging and a new visual identity. Please pass on your feedback—it’ll really help us.

• Authentication screens: We added new screens for secure sign-in to the app.

• Integration setup: We updated the UX to make it easier set up and sync your favourite tools.

• Response improvements: We changed how we handle data-indexing, which has given us impressive improvements in response quality. We also updated how we store data, so queries are now processed even faster.

• Scalability improvements: The demand for efficient background jobs was quite low with Workbounce v1. We’ve now switched the underlying product infrastructure so it should be (pretty much) infinitely scalable.

• Waitlist Improvements: A bit meta, but we’ve been delighted with the sign-ups this week (thank you!) We had some feedback that the plain text confirmation email was a bit “out of office-y” so Abbie made a nicer HTML one. If you point someone new our way, they’ll be able to show you!

Over the last two decades technology has crept into every corner of knowledge work, promising to make our work lives simpler and more efficient. In some ways, it’s lived up to that promise. But modern enterprise tech solutions have an unhelpful side effect of creating more noise and fragmentation for us to deal with. Our work lives are now spread across numerous platforms, apps, and devices all clamouring for our attention.

Recently, I’ve been asking myself and others two simple questions. How much of your time do you spend on “primary” work vs necessary-but-annoying “secondary” admin work? And, if you had a capable assistant, what would you delegate to them to free you up?

The answer to those questions reveals something we all know about the work we do, that there are parts that are more valuable than others, and parts we do because we have to. Those secondary tasks are more and more often driven by the exhaust fumes of modern enterprise tech. Updating the CRM, writing up meeting notes from calls, searching for answers for customers or team mates, responding to emails and messages, pulling data for reports.

When Rowan and I founded Workbounce in 2020 we were driven by the desire to solve this problem. A year ago we raised $2.7M in seed funding from Index Ventures with the ambitious mission of creating an "intelligent co-pilot for the entire customer lifecycle." We believed, and still believe, this problem is most acutely felt by customer facing teams who not only have to navigate the messy internal information landscape, they need to be the broker of that for external customers. But, the problem is universal across all knowledge work and we’re re-launching Workbounce with that in mind.

Consider any piece of technology you use today and count the steps it inserts between you and the result you're after. Want to understand the state of your sales pipeline? Open Salesforce, navigate through multiple windows, spend an hour building a report, discover the data is outdated, and then weep into your coffee. The current easiest way to get the answers you need is to send a message to a colleague or a whole channel and pass off the cognitive burden to them. 

As people, we have a bandwidth and a noise problem. There’s only so much information we can take in every day. As information in our organisations grows exponentially we find ourselves increasingly burdened with noise, more of our precious bandwidth gets used by this secondary task of sorting signal from noise. 

The good news is, we’re at peak noise.

Last year, we witnessed what might be the most significant technological leap of our lifetimes—the advent of Large Language Models (LLMs) in artificial intelligence. What struck me wasn't the novel generated output—the articles, the poems, the capacity to comprehend and elucidate a joke—but the potential for LLMs to eliminate the unnecessary steps between a user's desired outcome and the actual result. Essentially, their ability to help us make better use of our limited bandwidth and time.

I’d like to add a third question to my earlier two—what if we could give every knowledge worker a capable and efficient assistant? An assistant that can write a thesis in the time it takes to take a sip of coffee.

What if we could quickly surface the precise answer we needed from a piece of content, or transform a customer call recording into a flawlessly crafted follow-up email just by asking for it? What could we achieve?

This was the long-term future we envisioned with Workbounce. We didn't expect it to become a reality for at least another five years. We were under-optimistic. That’s no longer the case. If large language models and AI never progress beyond the capabilities they have today, that future will become a reality. We now have the tools available to solve those problems. But we will make further progress and AI will become faster, cheaper, more competent, and more efficient.

We’ll begin onboarding our first partner-customers to the new Workbounce platform from the end of April. Despite being in the early stages of this new chapter, the progress we've made is astonishing. Our current focus lies in developing the integrations that will yield the most value, and uncovering the biggest “secondary” work burdens we can solve for each of our customers.
